Office Relocation Checklist for Dubai Businesses

Office

So, you are moving your office. First thing you should know? You are going to forget something. Everyone does. At Insta Move Cargo Pack, we have been doing office moves in Dubai for years and we still see business owners overlook the same small details. The difference is we have learned what those things usually are. Let us walk you through what you actually need to think about before you start throwing desks into a truck. Start Talking to People Before You Start Packing Call your current building management. Ask them how moving day works. Some buildings in Dubai make you book the service elevator days in advance. Some only allow moves during certain hours. If you show up at 8 AM and they tell you the service lift is reserved for someone else until noon, you are stuck sitting in a truck on the street. Now call your new building. Same questions. Plus ask them about parking. Is there a loading bay? Do you need a permit to park the truck? We have seen businesses pay hundreds in parking fines because they did not check this first. Do this before you set a date. Because if the building says no moves on Fridays and you booked movers for Friday, you have a problem. Sort Out Your IT Before Moving Day This is the part that stresses everyone out when moving an office. Not because the moving crew cannot handle it. But because business owners often leave it until the last minute and then things go wrong. You need to back up everything before moving day. Everything. Servers, databases, whatever your business runs on.  And please, label your cables. Your IT team will thank you. We have walked into offices where the IT person unplugged everything and just threw the cables into a box. Then at the new location, nobody knew which cable went to which monitor. Your staff ends up sitting around for hours doing nothing while someone figures it out. You are paying salaries for that downtime. Take photos of every setup. Photograph the back of the server rack. Photograph how the conference room cables are organized. Photograph the printer connections. When you are trying to put everything back together at the new place, those photos are worth gold. Choose the Right Moving Partner You have options in Dubai. Cheap guys with pickup trucks. Big companies with flashy websites. And then you have teams like us at Insta Move Cargo Pack who do this every day and actually care about getting it right. When you hire us, you get people who have done this hundreds of times. We know how to take apart a cubicle system without losing the little screws. We know how to wrap a glass desk so it does not chip. We know how to move a server without bumping it around. And we show up on time. That alone puts you ahead of half the people moving in Dubai. Packing Is Not Just Throwing Stuff in Boxes You buy boxes from a stationery shop. You tell your employees to pack their own desks. Then on moving day, our crew walks in and finds boxes that weigh forty kilos because someone stuffed all their files into one. Boxes with fragile items and no padding. Boxes with no labels so nobody knows where they go. Let us tell you how we handle packing when you hire us. We use color coding. Red stickers for the accounts department. Blue for sales. Green for admin. That way when we get to the new office, we know exactly which floor or which zone each box belongs to. We label every box with the room it needs to go to. “Marketing corner. Third floor.” “IT closet.” “Reception area.” We wrap electronics in anti-static bubble wrap. Not newspaper. Newspaper leaves ink stains and does nothing to protect against static electricity that can fry a circuit board. If your employees want to pack their own personal items, that is fine. But ask them to put their things in separate bags. Mugs, family photos, snacks, phone chargers. That way those bags do not get mixed up with company equipment and lost. Inspect the New Office Before Moving Day You would think this is obvious. But we cannot tell you how many times our team has arrived at a new office with a truck full of furniture and found problems. Walk through every room. Turn on the AC. Check the power outlets. Open the windows if there are windows. Look at the loading bay. Make sure the parking situation is sorted. If something is not ready, do not move in. Push the date. It is better to delay by a few days than to move into a space that is not functional and spend weeks dealing with problems. Moving Day, Keep One Person in Charge You need one person from your company who is the point of contact. That person does not pack boxes. Does not carry furniture. Does not answer emails about client work. Their only job is to answer questions from the movers. Where does this conference table go? Which floor? Which office? Where do you want the server rack?  Also, have water available. Cold water. Moving is physical work. In Dubai, even inside a building, it gets warm. A cooler of water costs you maybe fifty dirhams. It makes a huge difference in how hard the crew works. What to Do After the Truck Leaves Someone needs to walk through the old office with the building manager. Check for damage. Make sure the space is clean. We have seen businesses lose their entire security deposit because they left a broken cabinet in the storage room or forgot to clean the kitchen. Do not let that be you. At the new office, your priority is IT. Get the network running. Get the printers connected. Get the phones working. Because until those things are up, your staff cannot do their jobs. Then
